Human Resources Coordinator

Under the direction of the Human Resources Assistant Director, coordinates the administration of the Human Resources department to include the Associated Students full-time and part-time employee recruitment and onboarding, diversity initiatives, employee relations, performance management, and various other human resources functions.

ESSENTIAL DUTIES & RESPONSIBILITIES

Primary Functions

Coordinates the full-time employment program including the creation of recruitment timelines, the recruitment job posting process, applicant screenings, interview questions creation and/or review, communication with candidates, interview scheduling and background screenings and/or Live Scan clearance
Ensures full-time and part-time recruitment job announcements are strategically posted in areas within the respective fields and fosters the inclusion of diverse communities. Ensures diversity within candidate pools
Coordinates full-time new hire orientation including the completion of all full-time new hire documents
Develops and coordinates the full-time onboarding program that outlines the value of the new employee’s role to the mission of A.S. Coordinates various meetings, tours and introductions with hiring supervisor, office supervisors and other A.S. staff. Creates an onboarding calendar to regularly meet with new hires regarding A.S. culture and principles
Coordinates the part-time employment program, working closely with the Payroll Coordinator. Responsible for recruitment initiatives, including tabling events, and interview questions creation and/or review, background screenings and/or Live Scan clearance
Creates and implements part-time orientation and onboarding program standard template. Works closely with Payroll Liaisons to incorporate this program in addition to each department’s orientation and onboarding
Promotes a culture of diversity among full- and part-time staff via diversity goals and targeted recruitment
Serves as the Custodian of Records for Live Scan results. Oversees background check and Live Scan policies and procedures in accordance with Federal and State laws, as well as A.S. policies
Creates and maintains confidential employee personnel records including HRIS. Records data and creates reports in HRIS system to support the goals of the HR department
Coordinates employee performance management program including communication with supervisors regarding End of Introduction evaluation deadlines, tracking evaluation submissions and ensuring evaluations are completed in a timely manner
Coordinates special events for full- and part-time staff. Maintains the A.S. Employee Staff Events calendar both in print and electronic. Ensures changes and/or updates are completed in a timely manner
Administers full-time employee tuition reimbursement program
Administers part-time scholarships programs and leads selection committees
Ensures all departmental employee bulletin boards contain current federal, state and city mandated information
Participates in the University New Employee Orientation program as needed
Serves as the secondary Payroll Liaison for the A.S. Office Suite. Communicates human resources and payroll changes, updates and necessary information with supervisors and staff as needed
Updates, maintains and distributes staff databases and contact lists including the A.S. Personnel Directory and SDSU Directory

Customer Service and Collaboration

Maintains positive working relationships with various A.S. and University departments, as well as vendors
Serves as a resource for employee’s human resources questions. Responds to inquiries in a timely manner. Communicates positively and ensures a welcoming environment
Serves as liaison to campus committees as needed

Safety

Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
Adheres to Associated Students’ Code of Safe Practices
Reports accidents to supervisor and reviews changes required to avoid reoccurrence
Reports maintenance problems and/or broken and unsafe equipment to the appropriate party immediately
Assists with Safety Committee agendas and the collection and tracking of monthly safety inspections

Minimum & Preferred Requirements

Education:

Four-year degree in human resources or a job-related field from an accredited college or university required, or equivalent combination of education and experience
Professional Human Resources (PHR) certification preferred

Experience:

A minimum of three years progressively responsible human resources experience required
Experience directly supervising staff preferred
Experience in Higher Education environment preferred

COMPENSATION

Starting Range: $24.88 – $26.44 per hour, Hourly, Non-Exempt

SCHEDULE & WORKING CONDITIONS

This is a regular, full-time position with expected hours of Monday through Friday, 8 a.m. to 4:30 p.m.

General office environment. Work is generally sedentary in nature, but may require standing and walking around campus. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.

This position requires the individual to spend long hours sitting and using office equipment and computers. This person will also spend time filing and have to do some lifting of supplies and materials from time to time, including banker boxes and files.

EMPLOYMENT CATEGORY: Full-Time, Non-Exempt, Hourly, Grade 6

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered this position with Associated Students.
